Frequently asked questions

Is online voting valid for an HOA election?

Most US states allow electronic voting for HOA matters when the association's governing documents (CC&Rs, bylaws) permit it โ€” and many states have explicitly enabled it via the Common Interest Community Act or equivalent. The most-cited example is California (Civil Code ยง5105), which allows electronic voting starting January 1 2025 when the association adopts an electronic-secret-ballot rule. Always confirm with your association's counsel before switching from paper.

How do you handle proxy votes?

Ballotis supports two patterns. (1) Proxy-by-CSV: when you upload the voter list, mark the proxy holder as the voter โ€” they cast on behalf of the absentee owner, and the system records the proxy linkage in the verification log. (2) Designated-proxy auth: the absentee owner signs in once and delegates their ballot to the proxy holder via a one-time link. The audit trail captures both flows.

What about weighted voting based on ownership share?

Equal-weight ballots (one vote per voter) ship today. Per-share weighting (e.g. 1 vote ร— percentage interest) is on the Ballotis roadmap for Q4 2026 โ€” until then, associations that need share-weighted votes can run a parallel manual tally on the public verification log, or batch voters into pre-weighted blocks via the CSV upload (one row per share unit).

How do you reach quorum without an in-person meeting?

The voter list import is your roster. The producer dashboard shows live participation against your imported voter pool, so you can monitor quorum in real time, send reminder emails to non-voters mid-window, and extend the window before close if needed. Quorum thresholds are tracked manually โ€” Ballotis doesn't auto-close at quorum because most state-specific rules require human ratification.

Can homeowners verify their vote was counted without revealing their choice?

Yes โ€” when you enable end-to-end verifiable mode on the poll, every voter receives a per-vote receipt token at cast time. They can re-look-up that token on a public verification page to confirm their vote is still in the chain, without exposing how they voted. Independent observers (counsel, an election committee) can re-tally the entire chain and confirm the results match the announcement.

What happens when a vote is contested?

Every cast ballot writes an immutable row to the audit log with: hashed voter identifier, cast time, IP and device fingerprint hashes, and the ballot's chain position. On a contested election, the producer can export the full audit log as a PDF, walk it row-by-row with counsel, and (if enabled) re-tally from the public verification chain. We never delete or amend cast ballots after the close.
